Simple Syllabus: Roles & Functions

Simple Syllabus roles provide different levels of access and functionality based on a user's responsibilities. This guide explains each role, including its purpose, functions, and its access level.

Use to this guide to understand the purpose of each role and determine which role you need when requesting Simple Syllabus access.

Editor roles allow users to edit syllabus content within their assigned area of access. The level of access and available functions vary by role.

Note that Templates and Common Syllabus Templates need to be edited before instructors edit their CRN-level syllabi to ensure the changes are reflected. Please refer to the respective Syllabus Schedule for the availability dates.

A user with the Template Editor role can edit division/department level templates that populates all courses within a given prefix.

Example:

If a Template Editor updates the template for the Hospitality department, the updated template will apply to all course syllabi within that department.

Expand or collapse content Common Syllabus Template (CST) Editor

A user with the Common Syllabus Template Editor (CST) role can edit a CST for any course assigned. CST Editors can be assigned to a division, department, and/or course.

Example:

A Common Syllabus Templates editor assigned to the Business department can edit all of the CSTs for the courses under that department (BUS 101, BUS 201, etc).

PCC Use: Some CST editor roles are term-based and must be assigned each semester. If you do not see the CST in your dashboard for a certain term please email [email protected].

Expand or collapse content Syllabus Editor

A user with the Syllabus Editor role can edit a CRN-level syllabus without appearing as an instructor on the syllabus. Syllabus Editors can be assigned at the organization, course, and/or section (CRN) level and can edit syllabi under the area to which they are assigned to.

Example:

A Syllabus Editor assigned to BUS 101 can edit all syllabi within the BUS 101 course.

If the Syllabus Editor role requested is for a specific CRN, the request will need to be made every semester. For example, BUS 101 CRN: 12345 for the Fall term.

PCC Use: Some Syllabus Editor roles are term-based and must be assigned each semester. If you do not see the syllabus in your dashboard for a certain term please email [email protected].

A user with the Instructor role is assigned to a specific CRN-level course syllabus and can update/complete the components for that section (CRN). The instructor’s name and email address will automatically appear in the instructor component of the syllabus.

PCC Use: This role is automatically assigned when an instructor is staffed or scheduled for a course in Banner and the data sync with Simple Syllabus is complete.

Expand or collapse content Approver Roles

Approver roles allow users to review and approve syllabi before they are published and after if the instructor makes updates. The level of approval access varies by the user's assigned organizational level.

If the instructor edits the syllabus after it has been approved, it will need to be approved again for the changes to be implemented.

A user with the Division Approver role can approve syllabi at the division level and access the Syllabus Library, where published syllabi are housed.

PCC Use: All syllabi must be approved initially before they can be published and must be approved again whenever an update is made thereafter.

Academic (Division) Deans are assigned this role.

A user with the Department Approver role can approve syllabi at the department level and access the Syllabus Library, where published syllabi are housed.

PCC Use: All syllabi must be approved initially before they can be published and must be approved again whenever an update is made thereafter.

Faculty leaders (Department Heads, Academic Directors, Designated Leads) are assigned this role.

A user with the Section (CRN) Approver role can approve syllabi at the course level (e.g., HRP 100) or the CRN level (e.g., HRP 100, CRN 12345). This role also provides access to the Syllabus Library, where published syllabi are housed.

If the Section Approver role requested is for a specific CRN, the request will need to be made every semester. For example, HRP 100 CRN: 23456 for the Spring term.

PCC Use: All syllabi must be approved initially before they can be published and must be approved again whenever an update is made thereafter.

Some Section Approver roles are term-based and must be assigned each semester. If you do not see the syllabus in your dashboard for a certain term please email [email protected].

Expand or collapse content Report Admin Role

A user with the Report Admin role is able to view and utilize the Reports page without having access to other administrative privileges. This role can be added to any user account.

PCC Use: This role is typically assigned to Division Support Staff, PCC Department Staff including staff supporting ADR, Learning Center, Library, CQI, CLT-Instructional Designers.
