Simple Syllabus: FAQs for Template Editors and Common Syllabus Template Editors (CST)

Updated on

What is the Common Syllabus Template Editor (CST) role in Simple Syllabus?

The Common Syllabus Template Editor (CST) role is responsible for managing and editing the Common Syllabus Template. Users in this role can add department specific components to the PCC template and control whether those components can be edited in CRN-level syllabi.

Common Syllabus Templates provide a standardized framework that promotes consistency, ensures compliance, and reduces duplication of effort.

Template Editors have the same abilities. However, their edits impact the entire department. Template Editors can also modify the settings of existing components that are not locked.

What is the Template Editor role in Simple Syllabus?

The Template Editor role allows users to edit the template for an entire department. For example, if you edit the template for the Hospitality department, the same template will apply to all courses and classes within that department.

If you would like to request one of these roles please email [email protected], or you can use our Syllabus Support ticket.

Does my department have to use a Common Syllabus Template or edit the Departmental template?

No. If your department does not need to add specific or unique information to the PCC template, you do not need to have a Common Syllabus Template or the Departmental template.

When can I edit the Common Syllabus Template and ?

The Common Common Syllabus Template has an editing window that allows Course Editors to make changes to their template before CRN-level syllabi are available to instructors.

We recommend editing the CST and Template before CRN-level editing becomes available to ensure the changes flow forward properly.

What can the Template Editor do?

Template editors are authorized to:

  • Add components to the existing PCC Template for all modalities (e.g., policies, lab safety statement, and more)
  • Enables/disables editing rights for newly added and unlocked/editable components for all modalities.
  • Arrange the order of the components for all modalities

What can a Common Syllabus Template Editor (CST) do?

Common Syllabus Template Editor (CST) are authorized to:

  • Add components to the existing PCC Template for all modalities (e.g., policies, lab safety statement, and more)
  • Enables/disables editing rights for newly added components only for all modalities at the CRN-level
  • Arrange the order of the components for all modalities
  • Import a component from a previous semester, provided you had the CST role during that term.

Note: Any components that CST and Template Editors can edit are also editable by CRN-level editors. CST editors cannot lock certain components or restrict edits by CRN-level editors.

If you add information that should be retained, please communicate this to your faculty.

Do I have to complete a departmental Template for each term?

Yes. If you add a component, add information to a component, or lock a component in the Spring term, you must do it for each following term and academic year.

Do I have to complete a departmental Template for each term?

No. CST auto-complete from term to term.

Who typically edits the Common Syllabus Template (CST) ?

This role can be requested by anyone who wishes to edit the Common Syllabus Template (CST), or the departmental Template. Typically it is the department heads, instructional designers, or course leads who oversee course standards and ensure compliance with academic policies and procedures.

Can multiple Template Editors collaborate on the same template?

Yes. More than one Common Syllabus Template Editor (CST), or Template editor can be assigned to a template. However, we are encouraging your area to establish a clear workflow process to avoid conflicting edits. Additionally, a template can not be edited simultaneously.

What happens when a CST is updated?

New syllabi created after updates are made to the Common Syllabus Template (CST) or the departmental template will inherit those changes at the CRN level.
